OCR indexing and metadata tagging — Content Factory

Full-text search finds a word. An index finds a file. If a clerk needs every contract signed by one party in one financial year, no amount of OCR helps unless party name and date have been captured as fields. We read the fields off each document, type them against a controlled vocabulary you approve, and hand them over in the shape your document system imports.

Which index fields can you capture?

Any field printed or written on the document: file or reference number, date, party or customer name, department, case number, patient ID, invoice number, policy number. You name the field list and we work to it.

What format do you deliver the index in?

CSV, Excel, XML or JSON, mapped to your field names, plus a load file for SharePoint, Laserfiche, Alfresco or a custom database.

How do you keep names consistent?

Against a controlled vocabulary agreed before work starts, so one organisation is not spelled four ways across a hundred thousand records.

Is the index checked?

Yes. Index fields are the part clients most often need corrected later, so each record is verified against the page image by a second person.
